Content Proofing

Review and approve content before it goes live on your website or social media.

What is Content Proofing?

Content Proofing is where you review marketing content created for your organization before it’s published. This ensures all content meets your standards and accurately represents your brand.

Types of Content

You may see various content types in your proofing queue:

  • Blog Posts - Articles for your website
  • Social Media Posts - Facebook, Instagram, LinkedIn content
  • Website Pages - New or updated web pages
  • Email Campaigns - Marketing emails to your audience
  • Ad Copy - Text for advertising campaigns

Reviewing Content

Access the Proofing Section

Click Proofing in the top navigation bar.

Select a Content Item

Content items are listed with their type, title, and submission date. Click on any item to open it for review.

Review the Content

Read through the content carefully. You can:

  • View the full content
  • See any attached images or media
  • Read notes from the content creator

Provide Feedback

If changes are needed, click Request Changes and add your feedback in the text box. Be specific about what needs to be modified.

Approve or Reject

  • Approve - Content is ready to publish
  • Request Changes - Content needs modifications before publishing

Proofing Best Practices

Review content promptly to keep your marketing schedule on track. Items waiting more than 48 hours will show a reminder badge.

What to Check

When reviewing content, consider:

  1. Accuracy - Is all information correct?
  2. Tone - Does it match your organization’s voice?
  3. Compliance - Does it follow industry advertising guidelines?
  4. Images - Are photos appropriate and high quality?
  5. Call to Action - Is it clear what the reader should do next?

Providing Effective Feedback

When requesting changes, be specific:

  • ❌ “This needs work”
  • ✅ “Please change ‘Dr. Smith’ to ‘Dr. John Smith’ for consistency”

Notifications

You’ll receive notifications when:

  • New content is ready for review
  • Changes you requested have been made
  • Content has been published

Configure notification preferences in Account Settings.
